Leaving Japan Soon? Take These 4 Photos First or You May Lose Your Refund

Once you leave Japan, going back for a missing document is not simple or cheap. Before you go, take clear photos of these 4 things. They are what your pension refund claim actually depends on.

1. Your pension handbook, or your Basic Pension Number

This is the single most important document for your claim. If you have your physical pension handbook (nenkin techo), photograph every page with your name and number on it. If you do not have the handbook, find your Basic Pension Number on any pension-related notice you have received, and photograph that instead. Without this number, your claim cannot be matched to your contribution record.

2. Your passport pages showing your name, photo, and departure

Photograph the page with your name and photo, and make sure the page or stamp showing your date of departure is clear too. This proves who you are and confirms when you actually left. If your passport gets renewed or lost later, this photo becomes your proof.

3. A bank statement or passbook page, in your own name

You will need this to receive your refund. It has to be an account in your own name, in your home country, and it cannot be a Japan Post Bank account. Photograph a page that clearly shows your name, account number, and the bank’s details. Blurry or partial photos cause delays, so take this one in good light.

4. Your residence card, front and back

Photograph both sides of your residence card before you hand it in or leave Japan. This confirms your visa status and time in the country, which supports your claim.

Why doing this now matters more than it seems

Once you are back home, getting a copy of a Japanese document you forgot to save is slow, sometimes impossible without a visit back to Japan. A missing document does not mean you lose your right to the refund, but it usually means delays, extra letters back and forth, and a longer wait for your money. Five minutes with your phone camera before you leave saves weeks later.

A simple habit that helps

Take these photos in a well-lit room, hold the document flat, and make sure every corner and every number is readable before you move on to the next one. Save them somewhere you can access from your home country, not only on a phone that might get lost or replaced.

In short

  • Photograph your pension handbook or Basic Pension Number, your passport ID and departure pages, a home bank account statement in your own name, and both sides of your residence card.
  • Do this before you leave Japan, not after.
  • Clear, well-lit photos with all the numbers readable save real time later.
  • A missing document usually means delay, not disqualification, but it is much easier to avoid the delay now.

If you already left and are missing one of these, tell us which one. We can often still help you move forward.
